Position Summary
I.C.E is seeking a qualified applicant for a Document Technician to work as a Phase III project team member to support large construction projects for Transportation Clients, in the Chicago metropolitan area. The Document Technician will be responsible for managing, organizing, and maintaining project-related documents. This role will be to assist the client and the Construction Manager (CM)/Resident Engineer (RE), to observe and record activities associated with the Contractor’s construction progress in a fast-paced environment. The selected candidate will need to be self-directed, capable of independent tasks as well as supporting multidiscipline complex teams, and should demonstrate a passion for involvement in the civil construction industry with an enthusiasm for successful completion of projects that meet our clients’ needs. The Document Technician will have earned or is working towards completion of their IDOT Documentation of Contract Quantities Certification.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The position’s duties and responsibilities include, but are not limited to:
- Review, organize, and maintain daily, weekly, and monthly documents to ensure regulatory and industry standards.
- Review and approval of invoices and payment applications which may include final payment.
- Manage digital and physical files, ensuring easy access and retrieval.
- Assist project teams by distributing, updating, and verifying documents as needed.
- Conduct internal and external audits.
- Coordinate with engineers and contractors to ensure document accuracy.
- Review and archive project closeout documentation
- Utilize document management software to streamline workflow and improve efficiency.
- Support administrative tasks related to construction project documentation
- May assume other duties as required.
EDUCATION AND/OR EXPERIENCE PREFERRED
- Bachelors of Science
- 3-5 Years of experience in construction document management or a similar administrative role in the construction industry preferred
- IDOT certification in Documentation of Contract Quantities
- Knowledge of CMMS or the ability to be trained.
ABILITIES AND SKILLS
- Proficiency in document control software and Microsoft Office Suite
- Excellent listening, verbal and written communications skills & ability interact well with many different audiences to build strong and successful relationships.
- Ability to work independently and as part of a team and manage multiple priorities as required.
- Strong organizational skills, prioritization skills, and attention to detail.
- Self-starter, goal oriented, hardworking, self-motivated with a positive demeanor and excellent personality
- Exceptional time management and organizational skills
Physical Requirements and Work Environment:
The work environment is usually dirty, dusty, and noisy, and is subject to inclement or extreme weather conditions. This position will require travel to various job sites (typically 1-2 hours from the employee’s home or company office)
A pre-employment background check, driver’s license check, and drug screen is required. Must have a valid driver’s license and be able to travel to local project sites and worked extended hours as required.

Hours | This is a full-time Field position. The typical hours of work are Monday through Friday 7:00 am to 3:30 pm, however the work schedule may vary depending upon the workflow of the office. Overtime as needed to include evenings, weekends and holidays. |
